Fixing common issues with the MINDBODY integration

If you’re having troubles with the GymLeads MINDBODY integration, this article can help.

Most issues can be solved by ensuring you’ve carefully followed all the steps to connect to MINDBODY and set up lead capture. If you’re still experiencing issues, read on for solutions.

Common Issues

MINDBODY sign-ups don’t appear as new leads

The lead capture feature allows GymLeads to receive a copy of the MINDBODY new client notification email and use it to automatically add the lead details.

Check the following solutions to common issues we see.

  • Check that the email map address you added MINDBODY is the correct one for your GymLeads location. Review the ‘Find the email map address’ section in our ‘Setting up MINDBODY lead capture’ article for instructions.

  • Check that the MINDBODY <CLIENTEMAIL>  replace phrase is present in both the auto emails and that it appears above any other email address (such as your studio email address). GymLeads uses the client email address in the auto email to look up the client details and add them as a new lead. Without the <CLIENTEMAIL>  replace phrase, lead capture will fail. Review the MINDBODY support website for details.

  • Check that a lead with the client’s email address and/or phone number doesn’t already exist, especially when testing the integration. GymLeads checks for duplicates and, if a lead with matching details already exists, the new one won’t be imported (even if they have a different name).

New and updated leads don’t sync to MINDBODY clients

The lead sync feature allows GymLeads to add new leads and send lead updates to MINDBODY when details change in GymLeads.

Check the following solutions to common issues we see.

  • Check that you’ve added all the necessary lead details to meet MINDBODY’s requirements. MINDBODY can be quite strict about what fields it needs before a member can be created. Hover over the ⓘ symbol in the sync status tag on the lead’s details page to see what fields need to be updated to allow GymLeads can add them to MINDBODY. Notes and messages don’t sync to MINDBODY contact logs

The contact logging feature allows GymLeads to send updates to MINDBODY any time notes are added or messages are sent to leads.

Check the following solutions to common issues we see.

  • Check that the lead is successfully synced with MINDBODY. Confirm that the sync status tag on the lead’s details page is green. If not, review the ‘New and updated leads don’t sync to MINDBODY clients’ section above for a solution.

  • Check that the correct integration permissions are turned on. The Keep notes and contacts in Sync permission must be turned on for this feature to work. Review step 8 of the ‘Adding the MINDBODY integration’ section in our ‘Connecting to MINDBODY’ article for instructions.

Trial class appointments don’t sync to MINDBODY classes

The trial classes feature allows GymLeads to add a trial class booking in MINDBODY when you schedule an appointment.

Check the following solutions to common issues we see.

  • Check that the lead is successfully synced with MINDBODY. Confirm that the sync status tag on the lead’s details page is green. If not, review the ‘New and updated leads don’t sync to MINDBODY clients’ section above for a solution.

  • Check that the correct integration permissions are turned on. The Class attendance requires a booking permission must be turned on for this feature to work. Review step 8 of the ‘Adding the MINDBODY integration’ section in our ‘Connecting to MINDBODY’ article for instructions.

Leads are being closed off when they purchase a trial

The way that MINDBODY is coded, there is no differentiation between a trial and a membership, they are all listed as a 'purchase'. So when you have the 'Membership Assigned' toggle turned on and a lead purchases a trial (even a free trial charged at $0) GymLeads thinks it is a membership purchase.

Turning this off with stop leads being closed off when a trial is purchased, but you will lose the ability for leads to be closed off when they purchase a membership. There are ways to use both methods to achieve your desired outcome however.
